Letter of Invitation
FOR ATTENDEES: Individuals requiring a Letter of Invitation to obtain a travel visa must be listed as an author on an accepted oral presentation or poster. Qualified individuals must fill out the EIPBN 2022 Visa Invitation Request Letter Form.
FOR EXHIBITORS: Exhibitors and sponsors requiring a Letters of invitation to obtain a travel visa must fill out the EIPBN 2022 Exhibitor Visa Invitation Letter Request Form.
ATTENDEES AND EXHIBITORS: Please note the following.
- Each person requesting an invitation letter must fill out an Invitation Letter Request Form.
- Send completed forms to melissaw@widerkehr.com or fax them to EIPBN at +1 (301) 527-0994.
- Letters of Invitation will be sent as PDF attachment to the email provided in the Invitation Letter Request Form.
- If delivery by courier is preferred, please provide the courier account number, a valid credit card number, expiration data and security code.
- It may take up to 15 days to process Letters of Invitation requests.
- EIPBN canโt contact U.S. Embassies in support of any individual attempting to gain entry to the United States to attend the EIPBN Conference.
We recommend that you secure your travel visa before registering for the conference to avoid EIPBN cancellation fees.
The United States visa application process can take several months. We strongly encouraged travelers to apply for their visas as early as possible and no less than three or four months before the visa is needed.
Visa Guidelines
- Visa applicants are expected to provide evidence that they are intending to return to their country of residence. This may include documented proof of the following.
- Family ties in home country or country of legal permanent residence.
- Property ownership.
- Bank accounts.
- Employment contract or statement from employer stating that the position will continue when the employee returns.
- Visa applications are more likely to be successful if completed in oneโs home country or country of legal residence.
- Applicants should present their entire trip itinerary, including travel to countries other than the United States, when applying for a visa.
- Include with the visa application a Letter of Invitation from the meeting organizer or the U.S. host when appropriate. Specify the activity or event, the location, dates, total length of stay, and how expenses will be covered.
- Specify if travel plans will depend on early approval of the visa application.
- Provide proof of professional scientific and/or educational status. Students will need to provide a university transcript.
- Evidence showing a history of business travel to exhibitions and other can help. For example, a photograph of an applicant staffing an exhibit booth or receipts for admission or for purchases of goods and services supporting an exhibit booth at an event may tip the balance in favor of a prompt visa approval.
- Evidence showing a history of travel to exhibitions, conferences or trade shows including travel to events in countries other than the United States.
- A business resume written in English.
- A Letter of Invitation containing anti-counterfeit measures from the sponsoring organization like the one that EIPBN can provide.
- A valid passport.
