Letter of Invitation
FOR ATTENDEES: Individuals requiring a Letter of Invitation to obtain a travel visa must be listed as an author on a submitted abstract for an oral or poster presentation with a high probability of acceptance by the conference (as determined by the conference and/or program chair). Invitation letters are not a commitment of any financial support and are not a de facto abstract acceptance by the conference. Qualified individuals must fill out the EIPBN 2025 Visa Invitation Request Letter Form.
FOR EXHIBITORS: Exhibitors and sponsors requiring a Letters of Invitation to obtain a travel visa must have reserved a booth that is paid in full for the 2025 conference and fill out the EIPBN 2025 Exhibitor Visa Invitation Letter Request Form (letter provided closer to conference date).
ATTENDEES AND EXHIBITORS: Please note the following.
- Each person requesting an invitation letter must fill out an Invitation Letter Request Form.
- Send completed forms to jadams@accent-dmc.com.
- Letters of Invitation will be sent as PDF attachment to the email provided in the Invitation Letter Request Form.
- If delivery by courier is preferred, please provide the courier account number, a valid credit card number, expiration data and security code.
- It may take up to fifteen (15) days to process Letters of Invitation requests.
- EIPBN will not contact the U.S. Embassies in support of any individual attempting to gain entry to the United States to attend the EIPBN Conference.
We recommend that you secure your travel visa before registering for the conference to avoid EIPBN cancellation fees.
The United States visa application process can take several months. We strongly encourage travelers to apply for their visas as early as possible and no less than three (3) or four (4) months before the visa is needed.

The visa application process can take several months to process because of the large number of applicants and the strict security reviews. We strongly encourage travelers to apply for their visas as early as possible and no less than three (3) or four (4) months before the visa is needed.

The following are suggestions that might help secure a travel visa.
- Visa applicants are expected to provide evidence that they are intending to return to their country of residence. This may include documented proof of the following:
- Family ties in home country or country of legal permanent residence,
- Property ownership,
- Bank accounts,
- Employment contract or statement from employer stating that the position will continue when the employee returns.
- Visa applications are more likely to be successful if completed in one’s home country or country of legal residence.
- Applicants should present their entire trip itinerary, including travel to countries other than the United States, when applying for a visa.
- Include with the visa application a Letter of Invitation from the meeting organizer or the U.S. host when appropriate. Specify the activity or event, the location, dates, total length of stay, and how expenses will be covered.
- Specify if travel plans will depend on early approval of the visa application.
- Provide proof of professional scientific and/or educational status. Students will need to provide a university transcript.
- Evidence showing a history of business travel to exhibitions and other can help. For example, a photograph of an applicant staffing an exhibit booth or receipts for admission or for purchases of goods and services supporting an exhibit booth at an event may tip the balance in favor of a prompt visa approval.
It is recommended that visa candidates bring the following to their interviews.
- Evidence showing a history of travel to exhibitions, conferences or trade shows including travel to events in countries other than the United States.
- A business resume written in English.
- A Letter of Invitation containing anti-counterfeit measures from the sponsoring organization like the one that EIPBN can provide.
- A valid passport.
Even those who have traveled frequently to the United States for business purposes might encounter difficulties that can cause delays. This can happen if there is an association with goods or industries that have been identified as controlled or sensitive, or if there is a change in relationships between nations. Prior history of travel to the United States is never a guarantee that future visas will be granted. Always apply early.
EIPBN does not have any influence with the United States State Department or the Office of Homeland Security. If your visa is delayed sixty (60) days or longer, or denied, please contact the consulate where your application is being processed. The International Visitors Office regularly reports to the State Department about questionnaires indicating that an application has been pending for 60 days or longer.
